Shine Enrich Importing Companies to HubSpot

One of the primary functions of Shine Enrich is to import company data from the Norwegian Business Registry into your HubSpot account. This section explains the different methods for importing companies.

You can manually import individual companies or groups of companies:

1. Individual Company Import:

   • Search for a company using the search functionality
   • Click on the company name to view its details
   • Click the "Import to HubSpot" button
   • Confirm the import when prompted
   • You'll receive a confirmation message when the import is complete

2. Bulk Import from Search Results:

   • Perform a search to find companies matching your criteria
   • Select multiple companies using the checkboxes in the search results
   • Click the "Import Selected" button
   • Confirm the bulk import when prompted
   • You'll receive a confirmation message when the import is complete

3. Import Options:

   • Create New: Create a new company record in HubSpot
   • Update Existing: Update an existing company record if a match is found
   • Create or Update: Update if a match is found, otherwise create a new record

Filters can automate the import process:

1. Setting Up Automated Imports:

   • Create a filter with your desired criteria (as described in the Managing Filters section)
   • Enable the "Auto Import" option in the filter settings
   • Configure how matches should be handled (create new, update existing, or both)

2. Import Scheduling:

   • One-time Import: Run the filter manually to import matching companies once
   • Recurring Import: Set a schedule for the filter to run automatically
     • Daily: Run every day at a specified time
     • Weekly: Run on specific days of the week
     • Monthly: Run on specific days of the month

3. Import Notifications:

   • Configure notifications to receive alerts when imports are completed
   • Set up error notifications to be informed of any issues during the import process

You can configure global settings for how imports are handled:

1. Accessing Import Settings:

   • Navigate to the Enrich Settings page
   • Go to the "Import Settings" tab

2. Duplicate Handling:

   • Matching Rules: Define how Shine Enrich identifies duplicate companies in HubSpot
     • Match by organization number
     • Match by name and postal code
     • Custom matching rules
   • Conflict Resolution: Specify what happens when a duplicate is found
     • Always create new record
     • Always update existing record
     • Prompt for decision
     • Use most recent data

3. Field Mapping:

   • Configure which Norwegian Business Registry fields map to which HubSpot properties
   • Customize the mapping to fit your specific needs
   • Create custom properties in HubSpot if needed

4. Data Enrichment Options:

   • Update Frequency: How often existing HubSpot records should be updated with fresh data
   • Field Protection: Specify fields that should never be overwritten during imports
   • Required Fields: Define which fields must be present for an import to proceed
